Job Opening for Parts Coordinator – Sidney, OH

Summary:

Provide daily oversight and management of the parts quoting, parts inventory, ordering, shipping of freight system and reporting of activity with delivery dates.  Provides customer service by completing parts quotes and updates on part delivery dates.

Daily Responsibilities:

  • Assist in parts quoting as requested by customers and service team
  • Initiate complete order process from PO to Invoice. Including generating PO# requests and work with end users for assignment and processing and matching invoices without PO’s
  • Oversee the process of matching packing slips with PO# with invoice to verify payment due to vendor.
  • Pull required parts for PM service and update parts system for inventory. Follow through the complete ordering process for availability of PM parts.
  • Order parts per work orders and AHE service requests with outside vendors.
  • Update Vision Software with part order information including adding shipping charges, tracking numbers and shipping status.
  • Provide weekly updates of AHE stock while keeping accurate new equipment list for sales team and parts inventory.
  • Generate reporting of equipment orders vs promised date, work order parts vs promised date with any notes of delays to keep service team and customer up to date with delivery information.
  • Oversee oil stock and bucketing with part time shop help
  • Support Unishippers, shipping out freight (air ends, warranty returns, etc)
  • Provide weekly report of top 50 inventory status
  • Main point of contact for Tech Truck parts stock creating a check and balance of inventory.
  • Back up for UPS shipping/receiving
  • Primary customer service for answering department phone calls.
  • Other duties as assigned.

Job Requirements:

  • Ability to track and organize information accurately through using various software systems.
  • Self sufficient in planning daily tasks and proactively communicating status of service needs.
  • Ability to lift up to 50 pounds on a regular basis
  • Excellent communication skills and strong Customer Service

Hours of Operation

  • Monday – Friday 7:30/8:00am -4:00/5:00pm depending on lunch time
